This guide is a checklist to ensure your EMIS Clinical Services is in a state on readiness for October 1st. Articles on how to do the steps below can be found in this portal.

1. Prescribing Cost Centre
Cost Centre Code in EMIS National Code & Authentication NACS (Configuration > Organisation Configuration - click on organisation name and click on Edit:

2. Data Sharing Agreements
The following Data Sharing Agreements activated on both the PCN Hub and GP Practices (Configuration > Data Sharing Manager):
- Care Record - Viewing other organisation's care record (PCN Hub)
- CrossOrgTasks - Organisations allowing me to create tasks (PCN Hub)
- CrossOrgTasks - Organisations creating tasks for me (GP Practice)
- Appointments - Enterprise - Consultation Write Back (PCN Hub/GP Practice)
For those hubs that have been using Remote Consultations you will need to deactivate this agreement after activating the Consultation Write Back Agreement.
3. Smartcard Roles
Smartcard Roles created by your Registration Authority for the Authentication NACS code above
and assigned to users Smartcards
4. GP Connect enabled
(Configuration > Organisation Configuration - click on organisation name and click on Edit. Select GP Connect Configuration. Check all boxes apart from Access Document.
If GP Connect Configuration not accessible please contact deliveryoperations@emishealth.com stating your EMIS Org ID and National Code (Y code) and ask them to activate GP Connect for your organisation.
5. Create Organisation Groups
(Configuration > Organisation Configuration > Organisation Groups)
You will need to create an Organisation Group for GP Connect Appointment Booking for GP Practices and another for 111 Direct Booking. For the GP Connect Appointment Booking for GP Practices each GP Practice will need to subscribe to this group. See here for more detail. See here for setting up 111 Direct Booking.
6. Create GP Connect Appointment Books
You will need to create Appointment Books that are GP Connect Bookable. This for both GP Practices and 111 Direct Booking. Use Session Names (highlighted red below) and Slot Types (highlighted blue below) to help GP Practices book into the correct slot:
Please note - GP Connect is a NHS Spine function so users booking appointments from a GP Practice will need to login to EMIS with a Smartcard.

7. Cross Org Slots (alternative to GP Connect)
Some organisations may not wish to go down the GP Connect route to book appointments. For those organisations that wish to use Find Cross-organisational slot then the Sharing my appointments Data Sharing agreement must be activated by the Hub and the Viewing other organisations appointments activated by the GP Practice.
Using this method will mean patients will need to be booked in as unregistered patients and then traced into the hub. See here for more information.
Bulk Import (Demographic Dump)
Data migration for demographic imports into a clinical service HUB is available from EMIS. Standard cost for a PCN Hub is £1500. Every GP Practice will have to complete a Demographics report and export it as a .csv which is sent to EMIS. There is roughly a 5 week turnaround for each PCN.
8. EPS
Understand the prerequisites for using EPS in a Clinical Services hub.
9. Set up Task Teams (Hub and GP Practices)
Set up Task Teams at both the PCN and GP Practice to send and receive Cross Organisational Tasks. See here for more detail.
10. Docman
In order to view Docman files on a shared record, organisations (or ICB) will need to purchase Docman Share - https://www.docman.com/docman-share/
11. Set up users
Set up users on the PCN Hub and ask them them Associate their Smartcard
12. accuRx
Enable the accuRx API in the EMIS Hub and add the organisation ID to the accuRx App - Activating accuRx for EMIS Hub
13. Configure Hub
Other requirements to get the hub ready may be:
- Import Document and Clinical Templates
- Create Protocols (i.e. capture Outcomes)
- Create Reports - Population and Appointments
Post October 1st
111 Direct Booking
- Create Organisation Group for 111 Direct Booking Slots
- Enable NHS Interoperability Toolkit (ITK) to receive messages from 111
Awaiting an update from ICB/ICS as to how DOS profiling for Enhanced Access will progress. This is on the back of the guidance from national DOS Lead to pause due to concerns around GP Connect functionality and limitations around DOS Profiling.
General Practice Appointment Data (GPAD)
- Estimate from NHSD that GPAD data for EA services is unlikely before February 2023
- Enable National Slot Mapping (EMIS)
- Map Slots in EMIS
- NHS Digital Extraction
Patient Appointment Access
- Booking, re-scheduling, cancelling appointments
- Appointment Reminders (accuRx)
Pathology Links
Online Requests is possible in EMIS Web Clinical Services but currently the majority of labs will not be able to send the results back to the patients GP Practices (limitations with Laboratory Information Management System (LIMS)). Most PCNs are creating Practice headed generic forms, completing these in a Consultation in the Hub which is then sent back to the Practice via the Consultation Write Back. This is followed up by a CrossOrg Task back to the patients Practice.
